About The Castle Hills PTA

We are a group of parents, caregivers, and teachers who share the common interest of providing a school experience like none other for our children.
We support the characteristics that have made our school a Leader in Me Lighthouse School and strive to be examples.
You may see us:

President: coordinate the work of the officers and committees of the association in order that the Purposes may be promoted; confirm that a quorum is present at all meetings of the association before conducting business; preside at all meetings of the association; appoint the chair of each standing committee and special committee, subject to the approval of the executive board, unless otherwise provided in these bylaws; be authorized to sign on bank accounts, unless prohibited by terms of employment; be authorized to sign contracts approved by the executive board; be listed as the principal officer and be authorized to sign tax documents , unless prohibited by terms of employment; appoint a member, subject to the approval of the executive board, who is not authorized to sign on the bank account to open, review, initial and date each bank statement; represent the Local PTA as a delegate to Council PTA (when the Local PTA is in membership with Council PTA); appoint the financial reconciliation committee, subject to the approval of the executive board; and serve as an ex-officio member of all committees except the nominating and financial reconciliation committees.

VP1 (Programs) Aide to the President: serve as aide-to-the-president; be in charge of Programs (Family Nights at CHE); and preside in the absence of the president (in their designated order). All that I would ask of my VP-1 is assist in attending meetings for Council, attend any events if available, and promote the PTA Programs (family nights) at general meetings. Its a position that is there to help the PTA Board when possible and the president is not available.

VP2 (Membership): This VP position is in charge of memberships. They will promote CHE PTA Memberships at various events, especially those in the beginning of the school year. They will create the membership forms, update the membership spreadsheet and send all membership information to TX PTA to be processed. They will be responsible for maintaining and updating all CHE PTA Members of any awards and new membership numbers. And of course the fun stuff, creating contest for all to participate in to get our Membership numbers up.

VP3 (Volunteers): This VP Position is in charge of all volunteers that come through PTA and the school. They will work closely with Chairs and Coordinators to determine volunteer needs for all PTA events throughout the school year They will let everyone know that they must be DPS Cleared before volunteering. They are responsible for sending a list of all volunteers to our schools front office the day before an event to insure all volunteers are cleared and checked in.The VP Volunteers will work with the Nominating Committee (typically February) to determine which Board positions will need to be filled for the following school year.

Secretary: record and maintain the minutes of all meetings of the members and the executive board; collect and preserve documents relating to the history of the association; present a written report to the association as the official history to be adopted at the annual meeting ; have a current copy of the bylaws; confirm the executive board has reviewed and the membership has adopted the Texas PTA /PTSA Records Retention Policy annually; confirm that all executive board members have signed the Local PTA Ethics/Conflict of Interest Policy; confirm that all executive board members are graduates of Texas PTA Leader Orientation or have completed the course by October 15 after their election or appointment; and not be a member of the financial reconciliation committee.

Treasurer: have custody of all the funds of the association; serve as the chair of the budget and finance committee; present a written and verbal financial report at executive board and association meetings and as requested by the executive board or association; maintain books of account and records including bank statements, receipts, budgets, invoices, paid receipts and canceled checks in accordance with the records retention policy; make disbursements in accordance with the budget adopted by the association; be authorized to sign on bank accounts; be authorized to sign tax documents, if the president is prohibited by terms of employment; present a preliminary annual report, i.e. budget to actual, at the last association meeting; complete and file all necessary tax documents; and present books of account and records to the financial reconciliation committee.

Advocacy: PTA defines advocacy as the act of mobilizing individuals and Local PTAs to work with the state office and National PTA to spark changes in programs and policies that benefit children. Local advocacy, however, is specific to your school district or city. This position is ll about advocating for our students and our schools. Our Chair will provide us any information that is important for us to know about our district and state legislative changes.

Bike Rodeo/ Tailgate: This chair will coordinate the annual Bike Rodeo and Tailgate. They will send home the flyer will Bike Rodeo information. They will be responsible for setting up the Bike Rodeo event and coordinating with both the Volunteer VP and CHPD. They are in charge of creating the Bike Rodeo Trophies and gathering Judges.

Box Tops: The Box Tops Coordinator will manage the Box Tops for Education drive. Responsibilities include collecting Box Tops; organizing Box Tops into groups of 50; mailing in collection sheets, bundled box tops etc. twice per school year (usually Nov. and March); promoting the event through the Communications Chair via email and PTA Facebook page.

Events: Oversees many events the PTA holds throughout the school year that occur after school hours and several that occur during school hours. Coordinate Pizza for all 4 General PTA Meetings. Set up the Annual School Wide Holiday Party. Be present when available for any event and their Chair.

Historian: Captures, assembles and preserves record of activities and achievements of a PTA. Taking photos at all Loved Ones Lunches and events when possible.

Loved Ones Lunch: Send out the flyer for all 3 Loved Ones Lunches. Check with Cafeteria for menu. Set up table for check in.

Photocopy Support: Assist the school when needed. This includes making copies for teachers when needed.

Reflections: The Reflections Coordinator will manage the process of entering CHE students Art submissions to the district Reflections Program. They will also gather awards for all students participating in the program.

Rodeo Dance: Responsible for organizing our annual Rodeo Dance. Responsibilities include finding appropriate venue (Getting with Coach to insure we can use both gyms if possible), hiring of appropriate vendors, gathering volunteers, and dissemination of plans and expectations to PTA Board.

Room Rep Coordinator: Keep everyone in the loop by holding meetings of Room Representatives or sending emails to all Room Reps. Facilitating grade level information for parents and providing reports at PTA meetings during the school year. Work with room parents and teachers to ensure classrooms have necessary support. A Room Rep is the communication link between your child’s teacher, the school, and all of the other parents in your child’s classroom. CHE's goal is to share information with every student and family, and to lessen the load on our teachers, so that they can do what they do best: Teach!

Silent Auction: Coordinate a Spring Auction held in conjunction with the Rodeo Dance/ Fall Auction held in conjunction with Clay Night. Organize a committee to collect items for the auction as well as distribute items to the winning bidders. Coordinate with teachers and places of business for teacher dates.

Silent Auction Baskets: Help create the baskets that the Auction Items will be held in. Coordinate with the Silent Auction Chair to set a date all items should be turned in to the class room. Gather a team to assist with Class Basket Wrap Party.

Spiritwear: The Spirit Wear Chair will manage the ordering process for CHE Spirit Wear. This is a year-round job, as design selection and ordering take place over the summer.

Teacher Appreciation: The Teacher Appreciation Chair will manage luncheons, food and baked goods the PTA provides for the teachers, and at various other events. Some of the events include: back to school breakfast or lunch the week before school starts, Teacher Appreciation Week (which includes one luncheon for the week and a treat of some kind each day), and a winter/holiday Dessert day. Time will vary depending upon the type of event. Teacher Appreciation Week in May is the most time-consuming event of the year.
